For a European foundation with an office in Amsterdam we are looking for parttime office manager. In this position you are responsible for the 'front office' of the organisation, and for making our communal spaces welcoming and easy to work in. In this vital role you support the work of all our teams by handling incoming communication, welcoming visitors, and sometimes providing light admin support.
In the position of office manager will be responsible for the following tasks, reporting to the Head of Operations:
Ensuring a smooth-running front office, handling incoming phone calls, mail, responding to information request by e-mail and welcoming visitors;
Supporting the organisation in the practical coordination of its planned relocation of the office this summer;
Contributing actively to team day(s), team events and other internal and external activities where needed and appropriate;
Taking care of communal meeting spaces (including kitchen) and ensuring the basics are in place for the colleagues. Keeping inventory up to date, related to food, beverages and office supplies. Arranging catering and taking care of the organisation when there are events at the office, and organise regular staff lunches;
In the absence of our Facilities Manager who works part-time too, you liaise with e.g. Our IT and building/ maintenance service providers in case of urgent matters.
We are searching for a candidate for 16 to 20 hours/ week for abouth 6 months. An availability to work more hours in the period 29 April - 17 May is desirable (holidays cover). Availability on every Tuesday is mandatory, the other working days is determined in consultation.
